Official Onsite Guide
Advertising in the Annual Convention Onsite Guide is an effective and cost-effective way to reach attendees both during and after the conference. The onsite guide will be available online via mccaconvention.com and a hardcopy will be available to all attendees.
Specs
The onsite guide is printed half U.S. Letter: 5.5" x 8.5" with 0.25" bleed all around (no bleed is required). Do not include any Printer’s Marks (crop marks, registration mark, page information, color bars, bleed marks, or slug area) in your file. All artwork should be saved in Full Color CMYK. Onsite Signage
October 1 is the cut-off date to assure your logo is included in applicable printed materials (official onsite guide, signage, exhibitor BINGO card, etc.). After this date, logos will only be included in the mobile event app and website.
- Returning sponsor or exhibitor from 2018? Only send us organizational logos if they have changed since September 2018.
- New sponsor or exhibitor for 2019? Send logo files (CMYK at least 4” wide and placed on a transparent background) in vector (.eps) or PNG (.png). Include full color, single-color black and white, as well as horizontal and vertical combinations.

Orders Due Wednesday, October 23
Food and beverage is an important aspect of conducting business in your exhibit booth, so we are happy to offer in-booth catering services to enhance your exhibit.

- All food and beverage items in the tradeshow must be purchased through the Kansas City Marriott Downtown Food and Beverage Department.
- In-booth catering does not supply additional tables or electrical. Please order this equipment through our technology contractor.
- Typically, a banquet staff member is not required to work alongside your booth as a food handler.
- All food and beverage orders require full payment 14 days in advance.
- All food and beverage prices are subject to change, but can be confirmed 90 days in advance.

Pre- and Post-Convention Attendee List
Exhibitors and sponsors will receive a pre- and post-convention attendee mailing list in Microsoft Excel format. The list will contain all opt-in registered attendees’ information at time of list-pull date (first and last names, organization, professional title, email address and/or physical address). Phone numbers will NOT be present.

- In-app gamification and scavenger hunts
- Tradeshow hours strategically set to avoid competing events
- Provide exhibitors with education (aka this service kit) on how to best reach attendees before, during, and after the event
- Offering viable sponsorship opportunities for added marketing and attendee engagement
- Enable pre-event meeting scheduling between exhibitors and attendees
As an exhibitor, it's on you to keep your booth busy, and there are a number of strategies for ensuring a good ROI:
- Use the attendee list to reach out to prospective customers and existing clients
- Design your booth to stand out and draw a crowd, but also to tell your story
- Train your team to develop engagement skills to make those conversations convert to sales opportunities

- Pre-arrange meetings with those who are looking for your products or services
How to get people to come to your booth
Regardless of your budget, here’s an array of ideas to help you make an impact:
Fishbowl Raffle: Ask everyone who stops by your booth to drop a business card into the fishbowl and come back later for the prize draw, where the prize can be anything from a bottle of wine to a trial of your product. The game collects contacts and encourages attendees to return later on to see if they have won a prize, giving you a second opportunity to engage them.
Mini-golf: A miniature golf course works really well as a showcase of signage and branding. You can offer prizes for holes in one, amazing shots, a lucky hole, and for just being a good sport. Booth Entertainment: You don’t have to be a performing monkey but entertaining attendees makes you more memorable and creates a more relaxed and fun atmosphere. Bring your booth to life with hired entertainment. These entertainers don’t just excite the audience, they become a vital part of your demo crew, all informative way.
Magician/Urban Tricksters: A magician, card, or urban trickster can add a wow factor and leave a lasting impression, especially with tricks that guests haven’t seen before. The magic doesn’t have to stop at drawing a crowd; adding an interactive element can make for a truly memorable booth experience.
Mini Massages: Offer a relaxing mini massage at your booth so that attendees can take a break, unwind, and feel comfortable which will make them associate these feelings with your brand. (Generally, you can have professional masseurs come in exchange for some signage of their services at your booth. This works as long as the two brands can complement each other.)
Tech Bar: Exhibitors who set up a technology bar with plugs to recharge devices give people a reason to stay as they power up. Creating an environment for clients and potential clients to relax at the booth makes attendees more receptive to talking to you about your company or product.

Liberty Exposition Services is MCCA's full-service general service contractor providing professional, creative and affordable exhibits with total services from initial planning to close of show. You will receive an email from Liberty Exposition Services after September 16 containing individual login information for ordering. Once logged in, you will find what is included in your specific booth package, as well as options for ordering technology, furniture, carpet, etc.
Americans with Disabilities Act
All exhibiting organizations are required to be in compliance with the American with Disabilities Act (ADA) and are encouraged to be sensitive, and as reasonably accommodating as possible, to attendees with disabilities. Information regarding ADA compliance is available from the U.S. Department of Justice ADA Information Line (800/514-0301) and from the website.
Care of Exhibit Space
MCCA will provide aisle carpet cleaning service. The exhibitor must, at its own expense, maintain and keep its exhibit clean and in good visual and working order.

On Friday, November 8, we'll announce our Best Booth Awards (the BBA's if you will...) recognizing exhibitors for their booth design, creativity, and branding.
Exhibit Design
100 percent occupancy of allowed exhibit space is discouraged. In designing exhibits, good judgment and consideration for neighboring exhibitors and attendees should be primary objectives. MCCA has the right to mandate modification or prohibit construction of the booth. Booths are subject to onsite review and modification, where necessary.
Furniture
The MCCA Convention Team encourages furniture that helps set a mood that will serve the goals your organization is striving to achieve at the event, as well as to stand out among a crowd of competitors.
General Requirements
All exhibits must conform to and enhance the professional, educational, and instructional atmosphere of the meeting. Overstatement in the design is to be avoided. Appropriate display components and furniture must be provided by the exhibitors at their expense.
Multi-story Exhibits
Multi-story exhibits require prior approval and Kansas City Marriott Downtown guidelines exist which dictate booth construction. All requests must be submitted in writing 45 days prior to the show opening.
Noise Levels in Displays
Exhibits which include the operation of musical instruments, radios, sound projection equipment, public address systems or any noisemaking machines must be conducted or arranged so that the noise resulting from the demonstration will not annoy or disturb adjacent exhibitor and their patrons, nor cause the aisles to be blocked.
Sound
Exhibitors may use sound equipment in their booths as long as the noise level does not disrupt the activities of neighboring exhibitors. Speakers and other sound devices should be positioned so as to direct sound into the booth rather than into the aisle.
Theme
This year's Annual Convention theme is "Fountains of Knowledge" and that could not be more appropriate for our community of educators and all the great knowledge they have to share. We encourage you to integrate our event theme into your entire exhibit-marketing program (e.g. pre-, at-, and post-show promotion, exhibit design, in-booth experiences, giveaways, staff attire, etc.).
